How to Set Up Two-Factor Authentication for the First Time

Learn how to set up Two-Factor Authentication on your Lucidya account using Email, SMS, or an Authenticator App, and how to manage 2FA from your Profile Settings.

When your organization's administrator enables Two-Factor Authentication, you will receive an email notifying you to set it up. The next time you log in you will be prompted to complete the setup before accessing your account. Lucidya supports three verification methods: Email, SMS, and Authenticator App.

You can also enable 2FA independently from your Profile Settings at any time, even if your administrator has not enforced it organization-wide.

Setting Up 2FA After Admin Enables It

Step 1. Log In and Start Setup

  • Log in to your Lucidya account with your email and password.
  • You will see a Two-Factor Authentication Required prompt.
  • Click Enable Now to begin.

Step 2. Choose a Verification Method

Select your preferred verification method from the available options. The methods available depend on what your administrator has enabled for your organization.

Method 1: Email Verification

  • You'll see Two-factor authentication required. Click Enable Now to begin setup.
  • Select Email Verification from the available options.
  • You will receive an email containing a one-time password code.
  • Copy the code, paste it into the verification field, and click Verify.
  • Setup is complete.
  • For future logins you will receive a new code by email each time you log in.

Method 2: SMS Verification

  • Select SMS Verification.
  • You will first receive an email with a one-time password code to confirm your identity.
  • Copy the code, paste it into the verification field, and click Verify.
  • Then enter your phone number with the correct country code.
  • You will receive a second one-time password code via SMS. Enter the SMS code and click Verify.
  • Setup is complete. For future logins you will receive a code by SMS each time you log in.

Note that SMS Verification is a paid feature and may not be available depending on your organization's subscription plan.

Once SMS is enabled, you cannot change your mobile number from your Profile page. Your company Manager can update it via Settings then User Management.

Method 3: Authenticator App

  • Select Authenticator App.
  • You will receive an email with a one-time password code to confirm your identity.
  • Copy the code, paste it into the verification field, and click Verify.
  • Open an authenticator app on your phone, such as Google Authenticator or Microsoft Authenticator, and scan the QR code displayed on screen.
  • Enter the one-time code generated by the app into the verification field and click Verify. Setup is complete.
  • For future logins you will open the app and enter the current code each time you log in.

Enabling 2FA from Profile Settings

You can enable 2FA independently from your Profile Settings, regardless of whether your administrator has enforced it organization-wide.

  • Go to your profile avatar in the top right corner and select Profile Settings.
  • Scroll to the Security section.
  • Find the Two-Factor Authentication area.
  • Toggle on your preferred method and complete the setup as described above.

If your company admin has already enabled 2FA organization-wide, the Disable button in your Profile Settings will be inactive. A tooltip will explain that 2FA is enforced by your organization.

Disabling 2FA from Profile Settings

If your administrator has not enforced 2FA company-wide, you can disable it from your Profile Settings.

  • Go to Profile Settings then Security then Two-Factor Authentication.
  • Click the Disable button next to the active method.
  • Confirm the action in the dialog.
  • Enter the verification code sent to your email.

You have 5 attempts to enter the code. After 5 failed attempts the Disable button is temporarily locked with a retry tooltip. Your account will not be locked.

If your administrator has enforced 2FA organization-wide, the Disable button will be inactive and cannot be used.

Everyday Login with 2FA

Once 2FA is set up, your login process works as follows.

  • Enter your email and password as usual.
  • You are prompted to verify using your configured 2FA method.
  • If your administrator enabled multiple methods, you can click Try Another Way to switch to a different method.
  • Enter the verification code and click Verify.

If your administrator has enabled the Remember Device option, a "Don't ask again for 7 days" checkbox will appear on the login screen. Check it to skip 2FA verification on that browser for the next 7 days.

Verification codes expire after 5 minutes. Use the Resend Code link after the timer runs out to request a new code.

Changing Your Password

You can change your password from the Security section of your Profile Settings.

  • Go to Profile Settings then Security then Change Your Password.
  • Enter your current password.
  • Enter your new password, a tooltip displays password strength feedback as you type.
  • Re-enter the new password in the Confirm Password field.
  • Click Save.
  • The Save button only appears when all three fields are valid and matching.

Password requirements follow the standard Lucidya policy used at account creation.

Frequently asked questions

What should I do if I do not receive the one-time password code?

Check your spam or junk folder if using email verification. If using SMS, verify your phone number is correct. If using an authenticator app, make sure your device's time is synced correctly. If the issue persists contact your administrator for assistance.

What happens if I lose access to my 2FA method?

Contact your account administrator or Customer Success Manager immediately. They can reset your 2FA settings to help you regain access.

Do I need to enter a code every time I log in?

Yes. Once 2FA is enabled you will need to enter a verification code at each login. If your administrator has enabled the Remember Device option you can check "Don't ask again for 7 days" to skip verification on that browser for 7 days.

Can I switch to a different verification method after setup?

Yes, as long as your administrator has enabled multiple methods. You can switch methods from your Profile Settings or click Try Another Way on the login screen.

Can I change my phone number for SMS verification?

No. Once SMS is enabled you cannot change your mobile number from your Profile page. Your company Manager can update it via Settings then User Management.

How secure is the Authenticator App method?

The Authenticator App generates time-based codes that change every 30 seconds and work offline. This makes it less vulnerable to interception compared to email or SMS methods.
